Cancellation Policy

Every booking requires preparation, scheduling, and resources reserved specifically for your event. This policy protects both RhythmNCulture Coffee House and our clients. 1. Booking & Payment A booking is confirmed once the final quote is accepted in writing and a 50% nonrefundable deposit is received. The remaining balance is due 7 calendar days before the event. Bookings made within 7 days require full payment at confirmation. 2. Client Cancellations More than 14 days before the event: The deposit is retained. Additional payments will be refunded, less agreed-upon, nonrecoverable expenses. 7–14 days before the event: The deposit is retained. Clients may also be responsible for documented, nonrecoverable expenses disclosed and agreed to in advance. Fewer than 7 days before the event: The deposit is retained, and documented, nonrecoverable expenses may also be charged as permitted by law. 3. Rescheduling One reschedule may be requested with at least 7 calendar days’ notice, subject to availability. Requests made with less notice may require a new deposit or rescheduling fee. If a mutually acceptable date cannot be arranged, the cancellation policy applies. 4. Weather & Outdoor Events Clients are responsible for providing a safe setup area and an agreed backup plan for outdoor events. If severe weather or unsafe conditions prevent service, both parties will attempt to reschedule. Any refund will account for nonrecoverable expenses and applicable law. RhythmNCulture Coffee House may suspend service when conditions pose a safety risk. 5. Provider Cancellation If RhythmNCulture Coffee House cancels and cannot arrange a mutually acceptable replacement date, payments for services not provided will be refunded. 6. Travel, Supplies & Changes Travel, special supplies, additional servings, extended service, and other approved add-ons may incur extra charges. Changes to the event date, location, guest count, or service requirements may change the final quote. Additional expenses must be approved before being incurred. 7. Client Responsibilities Clients must provide accurate event details, necessary location permissions, and access to a safe, suitable service area. 8. Agreement Submitting an inquiry does not confirm a booking. Payment and written acceptance of the final quote confirm agreement to these terms. All provisions are subject to applicable law.
